Include the document type, subject, effective date, and version where relevant. Avoid unexplained abbreviations.
Keep the owner, source, approval, effective period, and related records with the document so the file can be interpreted later.
Make the active record obvious while preserving older versions. Never rely on a filename like “final-final-2.”
Ask staff to find a known record using the terms they would naturally use. Improve metadata when the answer is hard to locate.
